How to start using archive feature in Exchange 2010

Greetings!

We use Exchange 2010 enterprise, clients use Outlook 2010.

The idea is that due to “some law obligations” we must keep all the e-mails coming on the address: onemail@company.com. In other words, nothing must not be deleted.

We were wondering about feature: enable archiving on this mailbox would be the right approach?

What we have done so far?

Ok, so we connected on Exchange SRV, opened EMC and enabled Archiving for this mailbox.

Now if I open user’s mailbox thru OWA I can see additional information about newly created mailbox: Archive mailbox, but there are no e-mails in there. How can I achieve that messages from Inbox and subfolders are being synced all the time to archive mailbox?

I see that EMC also has some tabs with retention archiving tags.

If I take a look on EMC/ORGANIZATION CONFIGURATION/MAILBOX/Default Archive and Retention Policy

I can see about 11 different tags, and under second tab/Mailboxes there's my test mailbox (onemail@company.com) which is currently the only one there.

  • Now, I'm a little bit confused if all those 11 different tags now relies on that mailbox? Which one is the one that works?

  • What are the next steps after you enable archive on mailbox, to achieve that all the mails in INBOX/SUBFOLDERS are copied to archive mailbox and kept there for about 10 years or a lifetime?

  • If I look on Exchange EMC: properties of a mailbox (onemail@company.com) / Mailbox Settings TAB / Storage Quotas I see Deleted item retention 14 days enabled. Does this means that deleted mails will be lost in 14 days even if we had turned on archiving?

  • If I look properties of a mailbox (onemail@company.com) / Mailbox Settings TAB / Archive Quotas I see a default Archive Quota which is 51200 MB, which I believe it means approximately 51GB?

  • Is there a way I would receive notification on a different e-mail (for example it@company.com) in case when quota is full?
